Bachelor and master students always have access to Qualtrics with their KU Leuven user name and password.
Qualtrics is a payed service for Ph.D students and researchers, therefor access to Qualtrics is not open. First an application for an account has to be made. More information can be found in the service catalogue.

If the Qualtrics support site cannot help, contact Qualtrics support. In order to contact a support representative via phone, email, or chat, you will need to login to your Customer Success Hub using your standard Qualtrics login credentials. Click in the upper right corner of your Qualtrics session to switch

You can set up the anonymisation of responses in Qualtrics in two ways:
- Via Survey options > Security > Anonymise responses
The responses of all respondents are anonymised.
2. Via Survey flow
The settings can differ for different groups of respondents.
For example: Respondents that do not complete the entire survey because they do not meet certain criteria.
Survey flow > Add End of survey element in > Customize > Option: Do NOT record any personal information and remove panel association.
By activating this feature:
- No IP addresses or geo-locations of the respondents are stored.
- The link between the respondent and the response is broken. You won’t be able to see which respondent gave which response.
- You can still see if a respondent has answered (completely).
If you set up anonymizing of the responses before the survey is distributed, this cannot be undone.
If you make the responses anonymous after the survey has been distributed, this can be undone.
If anonymizing the responses is set when the survey is already active, then all existing responses and all new responses will be anonymized.

1. Qualtrics accounts of students who are no longer enrolled will be deleted including their content at the beginning of the academic year. Students, supervisors or promoters are responsible for requesting an export of data to another, active Qualtrics account.
2. Students cannot activate their surveys themselves. The activation needs to be done by a KU Leuven personnel member with a KU Leuven Qualtrics account.
Procedure "Request Approval" for activating student surveys.
The option "activate" is not available for students, instead there is a "request approval".
Clicking this button gives an overview of KU Leuven personnel with a Qualtrics account.
Select a person and add a message. Usually this person will be your promotor, teaching assistant or lector who will approve the survey.
Remark: If you do not know anybody with a KU Leuven Qualtrics account, then you can select one of the following persons (ICTS personnel).

Please note in message the name of your promotor, supervisor, teaching assistant, course, etc. to fully document the approval.
Once you leave KU Leuven (no more student or personnel), you cannot access your KU Leuven Qualtrics account.
If there are projects that should still be available, post a request to the servicedesk in order to have these projects transfered to a valid, existing KU Leuven Qualtrics account.
